Be our guest – How Capital Space can cater to any meeting
Capital Space offers an easy-to-use meeting room booking service, and as an option for all who book a room, we can provide catering services. However, we understand that different types of business meetings require different refreshments. This guide will help you cater to all clients.
Booking with ease
Our meeting rooms are available to book out on an hourly, half day or day basis. Whilst we do offer discounts to Capital Space customers, our rooms are open to both onsite customers and those who have businesses based elsewhere. Customers can also enjoy special deals using our meeting room loyalty card at selected centres. Hiring a room is easy, simply get in contact and our supportive reception team will help book you in.
First Impressions
When guests arrive, first point of contact is vital in ensuring any meeting runs smoothly. This is why the front-of-house team at each of our facilities are happy to professionally greet and guide visitors if you’re running an event.
Whether or not you decide to provide catering at your meeting, guests are always invited to relax and recuperate in one of our lounges, where they can get a drink before a meeting starts.
Catering Options
We provide customers with a selection of finger foods and nibbles, popular among all, but particularly those hosting networking events, as these are easy for guests to enjoy whilst standing and mingling. Additionally, providing finger food at a networking, team building or workshopping event can allow a natural current for attendees to flow around the room, often allowing for further connections and insights to be made. Capital Space’s reception staff can help you select a menu that is right for your organisation’s budget and image.
When to serve alcohol
We do not provide alcohol as a part of our catering service, however, customers are welcome to provide alcoholic drinks for a small corkage fee. Hosts often wonder when it is appropriate to serve alcohol, and whilst there are no hard-and-fast rules, it is good to consider:
- The occasion: many of our customers like to book out our meeting rooms to mark important occasions such as Christmas, birthdays and milestones. In these cases, it is often nice to have a drink to celebrate
- The type of meeting: providing drinks at networking events can be a constructive way to get conversations started and help the meeting run smoothly. However, in situations where people are already familiar, alcohol might not be necessary
- The time of day: our meeting rooms are available for booking during normal business hours of 8:30am-5:30pm and many of our customers choose to book their meeting rooms at the very beginning or very end of the day. Some who book towards the end of business hours find that an alcoholic drink is a nice way to finish a long working day
- Transport Options: when alcohol is provided, it is important that those who decide to drink are aware of transport options. Fortunately, our friendly reception teams can help recommend alternative travel options
The importance of taking on board dietary requirements
Taking attendees’ dietary requirements into consideration is not only a sure-fire way of ensuring inclusion and participation. It can also avoid important safety issues. By learning of any dietary requirements in advance, caterers can provide a spread which is not only tasty for all, but also clearly labelled, safely separated and compliant with standards.
Booking a meeting room with Capital Space is easy and our friendly teams are always happy to advise on catering options. Just ask, and they will provide whatever information you need to ensure your next meeting runs as smoothly as possible.
Room layouts
As a business owner, it is up to you to decide the type of setting that is most appropriate for your clients and corporate identity. Each of our centre teams can provide advice on the kind of seating layout you need to suit your event – whether it’s boardroom style for a more formal director’s meeting or brainstorming session; classroom-style for training and conferences; cabaret-style for small group discussions or theatre style for presentations.
